New Employee Onboarding: Citrix

Introduction

This page is part of our introductory series on technologies we use at Road Scholar, and will introduce you to Citrix. It will give you an overview of what Citrix is and show you some of the ways we use Citrix at Road Scholar. This page complements the introductory video presented as part of the New Employee Onboarding experience.

Overview

Citrix is a cloud-based service that provides your desktop applications, including Outlook and Office 365, our intranet, which is called inRoad, and various business applications, like Salesforce or Travel Studio. Unlike applications that you run on your local computer, Citrix applications are run remotely and streamed live to you. 

Using Citrix

Citrix Workspace

The Citrix application is called Citrix Workspace, or Citrix. When you double-click the icon on your desktop to open it the first time, you will be prompted to login. You'll need to enter your email address and password, and then you'll be prompted by Duo as part of our multi-factor authentication process.  Please see our video on Information Security for more details on multi-factor authentication.

Citrix Workspace will show a list of the applications, or apps, that you have available. Click on All Apps in the left navigation bar to see the complete list. You can Favorite a particular app by clicking the star in the top left, or by clicking the three dots at the bottom of the icon, and selecting Add to Favorites from the screen that appears.  The Favorites list can then show you just the apps you want to see when you login.

A single click of the icon will open the app for you.

Files / Storage

You'll need to use Citrix File Explorer to access files, so you may want to add the app to your Favorites. Citrix File Explorer looks just like Windows Explorer.  If you expand This PC, you'll see the local drives on your computer as well as all of the network drives that you have access to. You can add folders you use often to your Favorites in Citrix File Explorer.

Everybody at Road Scholar has access to a personal network drive, which is mapped as your F:\ drive. We recommend you use this for your day-to-day file storage. Anything stored on your local drive, the C: drive, will not be backed up and we will not be able to restore it for you. If you do save something to C: by mistake, you can navigate to it and copy the file to your F: drive.  

If you double-click a file in Citrix File Explorer, it should open in the associated Citrix application.  For example, a Microsoft Word file will open Word in Citrix.

In addition to your personal drive, you also have access to a public shared network drive, mapped as your G:\ drive. This is used for collaboration across departments, or for saving documents that are too large to send as email attachments.

You may also have access to departmental network drives - those will be mapped to other letters, with security and usage policies determined by the associated department. If you need access to a shared drive, please contact Tech Desk and we'll be able to set you up.
